Job Description

Opportunity at a Glance

The Maintenance Coordinator performs a variety of duties within the Facilities and Operations Department. This role is responsible for receiving work orders/tickets from students relating to maintenance issues at Coverley Housing and channeling them to the relevant personnel for corrective action. The Maintenance Coordinator provides feedback to students, landlords, and the Campus Operations Administrator, and monitors progress on work orders/tickets. Duties are varied and carried out with a high level of customer service, confidentiality, and independent judgment for optimal student satisfaction.

Responsibilities:

  • Undertake remediation of maintenance issues at student housing in a timely manner.
  • Monitor maintenance software and ensure tickets are assigned to landlords promptly.
  • Work with maintenance software vendors to fix any glitches and functionality issues.
  • Visit student homes to inspect and better understand maintenance issues that are not clearly described on tickets or require validation.
  • Follow up with landlords on all outstanding maintenance tickets that remain open after the due date.
  • Communicate with students on the status of tickets submitted, including providing explanations for delays and establishing new due dates with landlords and update students accordingly.
  • Meet with the Student Government Association to gather feedback on student issues or general satisfaction with housing maintenance 8.
  • Evaluate the effectiveness of landlord repairs and raise any concerns to the landlod.
  • Review outstanding tickets daily and communicate any past-due tickets to landlord.
  • Assist with check-in/out procedures.
  • Provide on-call coverage for emergency maintenance needs after hours and on weekends/public holidays.
  • Communicate any dissatisfaction from technicians in addressing tickets to the landlord.
  • Perform data entry and prepare key performance indicator reports.
  • Implement and review surveys on student satisfaction with maintenance and recommend strategies to improve satisfaction.
  • Attend various meetings on maintenance issues with RUSM administration and maintenance officials from Housing Concepts.
  • Undertake cleaning inspections during semester breaks.
  • Drive throughout the Coverley villages to conduct housing inspections.
  • Perform any other duties assigned commensurate with the position.

Qualifications

Qualifications:

Education:

  • Bachelor of Science degree in Management, Engineering or relevant technical field.

Licenses and Certifications

  • Must hold a valid driver’s license with clean driving record.
  • City & Guilds Certificate in Engineering with specialization in Construction/Industrial/Mechanical.

Work Experience:

  • Minimum of 2 years in maintenance engineering, facilities, and operations management.

  • Experience in Facilities/Operations including inspection, plumbing and house repairs is preferred.

Knowledge, Skills and Abilities:

  • Communicate clearly and concisely in both written and oral form.
  • Maintain a high level of confidentiality.
  • Ability to be flexible and adaptable in various situations.
  • Demonstrate high levels of customer service and interpersonal skills in resolving maintenance issues. ability to handle several tasks concurrently, ability to work with and support various staff members, ability to maintain a pleasant demeanour and attitude at all times with all internal and external parties.
  • Ability to work and act in a professional manner and exercise independent judgment in the resolution of maintenance problems.
  • Intermediate knowledge and proficiency in the use of technology including Microsoft Office Suite and preparing reports.
  • Accomplish work responsibilities with minimal supervision.
  • Ability to identify and resolve problems in a timely manner; gather and analyze information skillfully.
  • Work with integrity and ethically.
