Job Description

Opportunity at a Glance


Under general direction from the Senior Manager, Events, this position is responsible for planning, coordinating, and implementing all conferences and tradeshows for Chamberlain and Walden University.  In addition, this position acts as the liaison among the Events Team and Workforce Solutions, Institutional Marketing, academic leaders, and colleagues within the Content, Creative and Events Center of Excellence in relation to event planning.  Secondary responsibilities include managing the vendor – related billing and administrative support for conferences and tradeshows.    

Responsibilities

  • Plans, coordinates, and implements all aspects of logistics planning for conferences and tradeshows.
  • Plans, coordinates, and implements all aspects of conferences and tradeshows.
  • Assists in completing tradeshow contracts, which includes areas of attrition clauses, cancellation policies and other costs that could negatively impact the institution.
  • Prepares, manages, and maintains rooming lists, in accordance with overall sponsorship contract.
  • Books travel within Adtalem Concur system for air travel.
  • Supports annual list of approved conferences and tradeshows to ensure timely booth selection, sponsorship selection when applicable, contracting, and payment,
  • Collaborates with internal stakeholders to create a robust, engaging in-person engagement with prospects, partners, and alumni onsite at conferences and tradeshows.
  • Research and propose engaging booth activities to attract prospects to exhibit booths.
  • Process invoices and expense reports in a timely manner within Adtalem processes.
  • Provide on-site management for some tradeshows (Some travel required).
  • Research and recommend best local catering options, (restaurants, catering services) and best local transportation options (taxis, shuttles, buses, etc.) when an additional onsite event/related event of reception is requested in conjunction with a conference and tradeshow.
  • Manage and update the standard planning processes for conferences and tradeshows to ensure collaborative planning.
  • Record meeting notes and arrange for documents to be copied and distributed.
  • Prepare and submit orders and invoices for tradeshow supplies and giveaways.
  • Ensure refreshments are prepared for guests and order lunches as requested for planning meetings.
  • Completes other duties as assigned.
  • Performs other duties as assigned including providing onsite support for commencement ceremonies and academic residencies.
  • Complies with all policies and standards.

Qualifications

  • Bachelor’s degree in marketing, communications, hotel management, or related field preferred.
  • Some education combined with equivalent years of experience required.
  • 2 years of experience in a meeting planning/travel or office management role required.
  • Excellent organization skills, solid analytical/proofing skills, good attention to detail, ability to work independently, good negotiation skills and solid written and verbal communication skills.
  • Ability to manage multiple meetings/projects, meet aggressive deadlines and extend excellent customer service.

  • Ability to prioritize, delegate and be adept at multi-tasking.
  • Self-starter, team player and possessing the ability to put in additional time as needed when emergencies arise, and deadlines need to be met.
  • Knowledge of commonly used concepts, practices, and procedures within the field of business administration.
  • Ability to lift 50lbs.

Additional Information

In support of the pay transparency laws enacted across the country, the expected salary range for this position is between $18.15 and $32.86. Actual pay will be adjusted based on job-related factors permitted by law, such as experience and training; geographic location; licensure and certifications; market factors; departmental budgets; and responsibility.
